Primary Purpose:

Under moderate supervision provide routine clerical support for the efficient operation of the school counseling office and professional staff. Maintain current and accurate confidential student records. Implement state and federally mandated student assessment programs for the district. Ensure security and integrity of testing materials and data in accordance with state and federal requirements.

 

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills: 

Knowledge of the state testing program and accountability system

Ability to use student test data systems

Ability to use personal computer and software programs to collect, report, and present data and test-related information

Ability to develop and deliver training to staff

Excellent organizational, communication, and interpersonal skills

Knowledge of general office procedures

Proficient keyboarding and file maintenance skills

Ability to use software to develop spreadsheets and databases, and do word processing

Ability to follow verbal and written instructions

Ability to perform a variety of tasks often changing assignment on short notice with some direction

Experience:

3 years clerical experience preferred

 

Major Responsibilities and Duties:

Testing

  1. Implement procedures for ensuring security and confidentiality of state-mandated testing programs and other assessments. Direct and oversee test implementation and monitor testing activities to ensure that procedures are followed and deadlines met.
  2. Provide timely support for testing administrators.
  3. Consult with staff to provide appropriate testing accommodations for Limited English Proficient (LEP) students and students receiving special services.
  4. Identify, investigate, and address testing irregularities. Report discrepancies and disciplinary actions taken against students as required.
  5. Consult with district staff to develop, administer, and interpret assessment guidelines and procedures.
  6. Maintain and ensure integrity of testing data. Ensure all materials and data are submitted within established timelines.
  7. Complete evaluation and compliance reports as required by federal and state programs.
  8. Track and monitor location of test materials throughout the distribution, return, and storage process.
  9. Compile, maintain, file, and secure all reports, records, and other required documents.
  10. Contribute to the development and delivery of training for district and campus test administrators to ensure that tests are conducted and procedures are consistently followed.
  11. Receive, distribute, and ensure security and confidentiality of testing materials.

Counseling Center

  1. Provide general clerical support including word processing, data entry, filing, and file maintenance.
  2. Assist with the registration of new students, including requesting and sending student records, entering student data, and ensure completeness of records.
  3. Process changes and adjustments to student schedules.
  4. Maintain complete and accurate student records including test scores and final grades on permanent records.
  5. Compile, maintain, and file all reports, records, and other documents as required.
  6. Receive incoming calls, take reliable messages, and route to appropriate staff.
  7. Assist counselor(s) with scheduling of meetings and appointments.

Other

  1. Assist with maintaining counseling center website and help students, parents, and teachers find information about testing, scholarships, and college materials.
  2. Maintains confidentiality.
  3. Follow district safety protocols and emergency procedures.
